RentFox, LLC
CONTRACT – TERMS & CONDITIONS
1. RESERVING EQUIPMENT: Equipment is reserved upon payment of a 50% deposit of total charges. This deposit is non-refundable but may be transferred to a future event date if needed. Rented equipment may not be sub-rented or used by any party other than the renter listed on the invoice. Items cannot be cancelled within five (5) business days of the scheduled event. Items cancelled within this window will be charged to the renter at full rental cost.
2. DELIVERY: All rental items are trailer-delivered within 50 feet of the trailer of the delivery truck ("trailer gate zone"). Deliveries requiring placement outside the trailer gate zone are subject to an additional fee of $0.50 per foot beyond the 50-foot limit.
We will make every effort to accommodate client delivery and pickup requests; however, schedule delays or changes are sometimes unavoidable. Items will be delivered and picked up at the location and approximate time listed on the invoice unless both parties agree otherwise in writing (text or email is acceptable).
The renter (or a designated representative) must be present to count all items at both delivery and pickup. If the renter is not present or available for the count at either time, FoxValleyRental.com's item count will be considered final and accurate.
Chair setup is not included in this rental. Rented items are provided as-is, with no warranty that they are entirely free of defects. The renter assumes full responsibility for proper chair setup, including ensuring all chair legs are fully locked into place before use, to maintain stability and prevent injury.
3. CLEAN UP & PREPARATION FOR PICKUP: All decorations of any kind (ribbon, tape, zip ties, floral attachments, etc.) must be removed from all rented equipment prior to the scheduled pickup time, in addition to meeting the staging requirements in Section 4. Items requiring removal of decorations by FoxValleyRental.com personnel are subject to an additional charge, at FoxValleyRental.com's discretion, separate from the staging fee in Section 4. We do not provide general event/party cleanup services — this section applies only to the rented equipment itself.
4. PICKUP STAGING REQUIREMENTS: The renter is responsible for preparing all rented chairs for pickup according to the standards below. This is required regardless of whether FoxValleyRental.com provided carts/dollies with delivery.
By the scheduled pickup time, all chairs must be:
- Folded and free of any decorations, zip ties, tape, ribbon, or attachments
- Stacked neatly in stacks no taller than 20 chairs
- Loaded back onto the original delivery carts/dollies, if carts were provided at delivery
- Staged in the same designated location where the equipment was originally dropped off, fully accessible within the 50-foot trailer zone described in Section 2.
Chairs left unstacked, left off their carts, scattered across the venue, or left in a location requiring FoxValleyRental.com staff to search, gather, or relocate them will be considered non-compliant pickup staging and subject to the fee below.
Non-Compliant Pickup Staging Fee: $99, plus an additional $2 per chair for any chairs that must be individually located, gathered, decoration-stripped, and/or hand-loaded due to renter non-compliance. This fee is charged in addition to, not in place of, any missing or damaged item charges under Section 5.
5. MISSING OR DAMAGED ITEMS: FoxValleyRental.com will pick up rented items on the date and at the time established at or before delivery. The renter must ensure all items are present, staged, and accessible per Section 4 above at that time.
Items not returned to FoxValleyRental.com within 2 business days after the scheduled pickup are considered missing. Missing or damaged items will be charged to the renter at a replacement cost of $30 per item. A detailed invoice will be provided for any such charges.
6. FINAL PAYMENT: Final payment is due on delivery. Payments can be made by cash, check, or Venmo. Check should be made out to Matt Yule.
7. WEATHER: Chairs are designed to withstand typical outdoor weather conditions. However, in cases of extreme heat, extreme cold, hail, high winds, or other severe weather, use of the chairs should be discontinued immediately. RentFox, LLC is not responsible for damage to, or caused by, rental equipment as a result of a severe weather event.
8. DAMAGE AND LIABILITY: The renter agrees that RentFox, LLC holds no liability for damage or injury caused by the use of rented items, to the renter or any third party. The renter assumes all risk of personal property damage or personal injury arising from use of the rental items.
If an incident involving RentFox, LLC equipment occurs while the equipment is in the renter's possession, the renter must notify RentFox, LLC in writing with a detailed account of the event, including a police report (if applicable) and the names and contact information of any witnesses.
SUMMARY: Responsibility for the rented equipment remains with the renter from the time of delivery until the time of pickup is completed and confirmed by FoxValleyRental.com. The renter is responsible for securing all equipment when not in use and protecting it from weather and unauthorized use.
All collection fees, attorney fees, court costs, or other expenses incurred in collecting unpaid rental charges or damage/missing item charges are the responsibility of the renter. The renter is solely responsible for any additional charges incurred as a result of failing to meet these Terms & Conditions, including but not limited to the pickup staging requirements in Section 4.
I HAVE READ AND AGREE TO THE ABOVE TERMS & CONDITIONS AND ACKNOWLEDGE RECEIPT. PLACING A DEPOSIT ONLINE ALSO SATISFIES THE SIGNATURE REQUIREMENT BELOW. THIS CONTRACT IS VALID FOR ALL RENTALS PURCHASED BY THIS CLIENT AND SUPERSEDES ALL PRIOR CONTRACTS.
